Job Summary
As the first university-based common law school in the nation, the Schulich School of Law offers a unique and enlightened approach to legal education. Reporting to the Program Manager, the Administrative Coordinator is responsible for coordinating, implementing, and monitoring administrative processes and logistics related to the Juris Doctor (J.D.) grade records, appeals processes, Academic Timetable, examination procedures, non-traditional academic program offerings, academic prizes, and Studies Committee deliberations.
Key Responsibilities
  • Create and maintain tracking tools to ensure accurate and timely grades submission, entry, processing, and communications; analyze grade distributions, calculate weighted average GPAs, and communicate proactively with faculty and staff (Law school and Registrar’s Office) as needed.
  • Provide administrative support on all academic policy and procedure matters, including communication, implementation, review, student appeals, and Studies Committee matters, deliberations, and meetings.
  • Assist with the development of the J.D. timetable, taking into consideration multiple factors and scheduling requirements, and ensure accurate and effective communication and administration throughout the year.
  • Coordinate administrative and logistical matters related to examinations, including syllabus review, scheduling, exam codes, room bookings, invigilation, student communications, and liaising with faculty and instructional technical support.
  • Coordinate administrative processes for non-traditional academic programming, including the Smith Shield Moot, Judge’s Clerkships programs, Public Law placements, and Directed Research Paper courses.
  • Administrative support for the Office of the Associate Dean Academic, including academic awards, records management, coordinating the Student Learning Experience Questionnaire process, and supporting other members of the team, as required.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Business/Office Administration Diploma with three to five years’ related work experience in a student services setting (or equivalent combination of training and experience).
  • Proficiency in Microsoft Office, including advanced knowledge of Excel, is required as well as the ability to learn new software programs (i.e. Law Marks, Banner, UniHub), and effectively trouble-shoot.
  • Excellent written and oral communications skills.
  • Excellent organizational skills, ability to multi-task and maintain a high degree of accuracy.
  • Candidate must demonstrate strong initiative, superior interpersonal skills and the ability to maintain composure in challenging situations.
