Job Summary
Dalhousie University’s Office of Advancement is responsible for all fundraising and alumni engagement activities at the Dalhousie University, including the University’s $750 million Bringing Worlds Together comprehensive fundraising campaign. A team of over 100 advancement professionals cultivate relationships with alumni and friends of the university and works with donors to help them achieve personal fulfilment through philanthropic investment which is used to support student success, scientific research, and community impact. With dual reporting to the Associate Director, Finance and Risk Management and the HR Advisor, the Finance and Human Resources Administrator takes a leadership role in advising, developing, implementing, tracking, and monitoring with regard to budgeting, accounting and financial functions for all units in the Office of Advancement. They will also play a crucial role in supporting the day-to-day HR functions of the Office of Advancement and will act as a key contact for Advancement’s managers and staff for HR-related issues.
Key Responsibilities
  • Administer and monitor the yearly operating budget for the units under the responsibility of the Vice-President, Advancement. Review and reconcile Financial Services general ledgers on a program and account basis and investigate and resolve discrepancies.
  • Provide input to the annual university budget processes for the Office of Advancement, by researching and assembling relevant budget information to assist the Associate Director, Finance and Risk Management in annual budget submission and for mid-year and 3rd quarter reviews, providing cost projections based on detailed analysis of prior years’ spending.
  • Coordinate procurement processes for the Office of Advancement by advising staff on policies and documentation required, initiating and submitting purchase orders, monitoring their status and resolving any issues.
  • Act as the Office of Advancement’s primary point of contact for Dalhousie’s Talent Management team and hiring managers for the posting of job advertisements on Dalhousie’s PeopleAdmin recruitment site and assist managers throughout the search process.
  • Administers the leave management system for the Office of Advancement, which includes training staff and managers on proper use, and liaising with Human Resources Data and System Analysis team to troubleshoot issues.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Undergraduate business degree with a minimum of three to five years of related experience is required (or an equivalent combination of education and experienced).
  • Proven ability to exercise initiative, be self-directed and multi-task.
  • Demonstrated ability to work independently, establish priorities in order to meet deadlines and problem-solve.
  • Excellent written verbal and interpersonal communication skills.
  • Good analytical skills and attention to detail in the context of the bigger picture.
  • Proficiency in MS Office with expertise in Excel.
Assets
  • Experience working in a university setting.
  • Experience in a fundraising setting, and experience with project management.
  • Experience with Dalhousie Online tools.
