Job Summary
Information Technology Services (ITS) is dedicated to a constructive, team-orientated environment, gathering varied perspectives, sharing knowledge, and building effective partnerships that enable our partners to achieve their goals by advising, providing solutions, and delivering service excellence in alignment with the University’s mission and goals. Reporting to the Director, Business Operations, the Contracts and Procurement Specialist supports, manages, and administers contracts, license agreements, hardware and software maintenance renewals and leases for technology spending on services and products across the organization with specific attention to the requirements for the Infrastructure & Operations group within ITS by evaluating and enhancing workflow processes, and operational improvements.
Key Responsibilities
  • Procure by Purchase Requisitions for single quotes, multi-quote requirements and authorizes the acquisition for small items with low value. Requisitions are used for supplies, hardware and software acquisition and maintenance renewals.
  • Participate in RFP/RFQ development. Ensure fair and formal selection of suppliers in Requests for Information and Requests for Proposals development and evaluation to verify all required components are present in the requests, and that proper processes are followed.
  • Track receivers for Purchase Orders, ensuring they are signed, and invoices sent to Financial Services as soon as possible paying strict attention to year-end deadlines.
  • Maintain the accurate management of ITS network and server hardware leases, and software leases/contracts for the Infrastructure and Engineering Units in ITS.
  • Ensure hardware warranties are in place for network hardware and servers with an awareness of any associated expiration dates for these warranties by maintaining a list of all maintenance contracts and software licenses.
  • Responsible to support, manage, and log cost for technology spending on services and products across ITS.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Business/Office Administration and/or Accounting program with approximately four years’ related work experience in procurement, accounts payable or audit environments (or equivalent combination of training and experience).
  • Experience and/or Certification in Project Cost Estimation
  • Ability to prioritize and meet demands in a high volume, deadline-driven environment with strong attention to detail.
  • Demonstrated professionalism, and excellent interpersonal and communication skills (written and verbal) with the utmost importance on diversity, inclusivity, respect and kindness.
  • Proficiency in MS Office applications, with especially strong Microsoft Excel skills.
Assets
  • Public Procurement certification or Supply Chain designation.
